The conventions

How Poland reads an application letter

In Poland the list motywacyjny is a formal document with settled conventions, and it is requested less often than it used to be. Many adverts now ask only for a CV, and some say explicitly that a letter is not required — 'prosimy o niedołączanie listu motywacyjnego'. Where the advert asks for one, or where the role is senior, public-sector or highly competitive, a properly formatted letter is expected and its absence is noticed.

The format is continental: A4, one page, your contact details at the top, the place and date at the top right in the form 'Warszawa, 16.09.2026', a formal greeting, three or four short paragraphs, and 'Z poważaniem,' before your name. The register is respectful and concrete. Polish recruiters read a large share of applications as template copy, so a letter that names the employer's actual business and gives two verifiable results stands out more than it would in some other markets.

One Polish particularity confuses applicants from abroad: the RODO clause. Since GDPR took effect, a CV normally carries a consent line permitting the employer to process your personal data for this recruitment, and often a version covering future recruitments too. That clause belongs on the CV, under your contact details — not in the list motywacyjny, and never in place of the letter's closing.

Six rules that make a letter look like it belongs in Poland

Send the letter only where it is wanted

If the advert asks for a list motywacyjny, send one. If it says a letter is not required, respect that. If it is silent, a short formal letter is a safe addition for professional and senior roles.

Greeting depends on the name and gender

'Szanowna Pani,' for a named woman, 'Szanowny Panie,' for a named man, 'Szanowni Państwo,' when the recruiter is unknown. 'Witam' is widely regarded as too casual for a first contact with an employer.

Place and date, top right

'Warszawa, 16.09.2026' or the long form '16 września 2026 r.'. Both are correct; consistency across the application matters more than the choice.

Concrete evidence, no inflation

Polish HR practice is sceptical of adjectives. 'Zwiększyłem konwersję o 18% w ciągu dwóch kwartałów' with the context of how you measured it is worth more than three claims about being dynamic or engaged.

The RODO clause goes on the CV

The consent line allowing the employer to process your data belongs under your contact details on the CV. A letter that carries it instead looks like a copied template, and a CV without it can be set aside on compliance grounds.

Notice period and availability

Polish employment contracts commonly carry one- to three-month notice periods (okres wypowiedzenia). Stating your availability in one clause answers a question the recruiter will otherwise ask at first contact.

  • One A4 page, 200–320 words.
  • Place and date top right, in one consistent format.
  • The greeting matches the recruiter's name and gender, or is 'Szanowni Państwo,'.
  • The advert's reference number appears in the subject line where one exists.
  • Two or three achievements carry real figures and enough context to be verifiable.
  • Availability and notice period are stated in one clause.
  • The RODO clause is on the CV, not in the letter.
  • Gendered verb and adjective endings are consistent throughout a Polish letter.

Never do this

  • Do not open with 'Witam' in a formal application.
  • Do not send a letter when the advert says one is not required.
  • Do not put the RODO clause in the letter or use it in place of the closing.
  • Do not copy a template with the employer's name swapped — Polish recruiters read hundreds of the same letter.
  • Do not mix gendered endings (e.g. 'zrobiłem' and 'zrobiłam') in one document.

Is a list motywacyjny still needed in Poland?

Only where the advert asks for it, and for senior, public-sector or highly competitive roles. Many Polish employers now screen from the CV alone, and some state that a letter should not be attached.

Where does the RODO clause go?

On the CV, under your contact details. It consents to the processing of your personal data for this recruitment and optionally for future ones. The list motywacyjny does not carry it.

Should I write in Polish or English?

In the language of the advert. In tech, BPO/SSC and international companies in Warsaw, Kraków, Wrocław and Tricity, English is routine. For a Polish-language advert outside those sectors, write in Polish — and check your gendered endings.

How do I greet the recruiter?

'Szanowna Pani,' or 'Szanowny Panie,' when you know the name and gender, 'Szanowni Państwo,' when you do not. Avoid 'Witam', which reads as too casual for a first contact.

How long should the letter be?

Two hundred to three hundred and twenty words on one A4 page. Longer letters are rarely read in full.

Do Polish CVs include a photo?

Often, along with date of birth, although neither is required and international employers in Poland do not expect them. The letter itself never carries a photo.
