How to Write a German CV (Lebenslauf): Structure, Rules & Tips

A convincing German CV follows clear rules: the tabellarischer Lebenslauf layout, reverse-chronological order and a maximum of two A4 pages. This guide walks you through every section — from the Kurzprofil to the signature line.

The layout

The structure of the tabellarischer Lebenslauf

In Germany the tabellarischer Lebenslauf — a table-like CV with dates in the left column and stations on the right — is the uncontested standard. Hiring managers can check in seconds whether your career matches the requirements, and deviations from the format get noticed before your content does.

The order is reverse chronological: your most recent position comes first. That has prevailed over older chronological variants because decision-makers want to see what you can do today, not where you started ten years ago.

  • Personal details Full name, address (city is often enough), phone, email, optionally a LinkedIn or Xing profile. Date of birth is now optional — no longer expected under the AGG (Germany's anti-discrimination act), though still common in conservative industries.
  • Kurzprofil (optional) Two to three lines directly beneath your contact data: position, years of experience and your single strongest selling point. The Kurzprofil does not replace the Anschreiben — it guides the eye during the first scan.
  • Berufserfahrung (work experience) Time period in MM/YYYY format, position, employer, location — followed by three to five bullet points of tasks and measurable results. Start every bullet with an active verb.
  • Ausbildung (education) Highest qualification first: degree, apprenticeship or further training with institution, qualification name and grade. School qualifications drop off once a higher qualification exists.
  • Kenntnisse (skills) Languages with honest levels (CEFR grades like B2, or terms such as 'fluent'), IT and software knowledge, plus relevant certificates and training.
  • Date and signature At the bottom: place, current date and your signature — handwritten for printed applications, digital or scanned for online ones. It certifies that all information is accurate.

The language

Phrasing that convinces German recruiters

The biggest quality difference is not the layout but the bullet points. Task descriptions are the baseline German recruiters expect; what impresses them is results with numbers.

Turning duties into achievements

'Responsible for processing customer enquiries' only states what the job was. 'Handled an average of 45 customer enquiries per day and raised the first-resolution rate from 62% to 81%' states what you did with it. Verb, task, number — that pattern works for every profession, from warehouse to board level.

Strong active verbs for a Lebenslauf: led, introduced, optimised, implemented, managed, coordinated, trained, reduced, increased. Avoid passive constructions ('was responsible for') and truisms ('team player, resilient') — both fill lines without informing anyone.

Gaps in the timeline

German recruiters pay particular attention to gaps. An unlabelled phase longer than two months looks suspicious — name it honestly and neutrally instead: 'parental leave', 'full-time further training', 'career reorientation' or 'caring for a relative'. A labelled gap is not a flaw; an unexplained one is.

Formalities

Photo, signature and length: the German specifics

The application photo (Bewerbungsfoto) is not legally required in Germany — under the General Equal Treatment Act (AGG), employers may not demand one. In practice it depends on the industry: in Mittelstand firms and customer-facing sales a professional photo is still welcome, while corporations, the public sector and international tech companies increasingly skip it on purpose.

On length: one to two DIN A4 pages is the standard for skilled professionals and career starters. Only executives with more than fifteen years of experience or academic applicants should consider a third page. Whatever does not convince gets cut — brevity is expected, not optional.

  • Using a photo correctly If you include one: professional shot, neutral background, attire appropriate to the industry, top right or in the header. No selfies, no holiday pictures, no filters.
  • Attachments stay separate References, certificates and work samples do not belong inside the CV but behind it as named Anlagen (attachments) — and only when the job posting asks for them or they add real value.
  • ATS in Germany Corporations and larger Mittelstand firms increasingly use applicant tracking systems (SAP SuccessFactors, Workday, Softgarden). Skip text boxes, graphics with embedded text and exotic fonts — clean, selectable text in a standard typeface passes every parser.

German or English?

Which language to apply in

The basic rule: follow the language of the job posting. A German posting wants a German Lebenslauf — even at international companies with a German office. An English posting wants an English CV. The structure in this guide applies to both; only the document language changes.

State language skills honestly: 'German: native', 'English: business fluent (C1)'. Exaggeration surfaces in the interview at the latest. The same honesty rule applies to foreign degrees: name the original qualification and add a short explanatory note in brackets.

Practical example

What a strong Kurzprofil looks like

Before and after: the same person, the same experience — once as a stock phrase, once as a convincing profile.

Kurzprofil for an office administrator — before / after

3 lines that make the difference

BEFORE (typical and weak): Team-oriented, resilient office administrator with several years of experience looking for a new challenge in a dynamic environment. AFTER (specific and strong): Office administrator with 6 years of experience in law-firm accounting. Ran dunning for 400+ client accounts and cut bad-debt losses by 23%. Fluent in DATEV, Lexware and MS Office — looking for a role with ownership of the books.

The 'after' profile names an industry, seniority, one number and tools. Every claim can be backed up in the interview — that is exactly what a recruiter is looking for.

FAQ

Questions about writing a Lebenslauf

Is a photo mandatory on a German CV?

No. Under the AGG, employers may not require one. In traditional industries a professional photo is still customary and can help; a missing photo may not legally be a reason for rejection. Decide based on the industry and the individual employer.

Do I have to sign the Lebenslauf?

For classic applications, yes — place, date and signature at the end. For online portal applications, a digital or scanned signature is customary but usually optional, as long as the remaining formalities are correct.

How do I handle a gap in my CV?

Label every phase longer than two months honestly and neutrally: parental leave, further training, orientation phase. A short factual label is always better than an unexplained empty period.

Should I list every job I ever had?

No. After roughly 15 years of experience, describe the most relevant stations in full and reduce older positions to period, title and employer. Relevance beats completeness.
