    Making an ATS-conscious resume is both a writing and a review process. Starting with a clear structure can make it easier to organize the content; the time needed depends on your experience and how much tailoring the role requires.

    This is that build order, with the rules for each step and the exact wording to use. Use the sequence as a starting point for a resume with a clear reading order, relevant details and examples a person can review.     An ATS-ready resume satisfies four constraints at once. Miss any one of them and the quality of your writing cannot save the application.

    How to make an ATS resume: 7 steps in order

    Do them in this sequence. Each step depends on the one before it — which is why drafting bullet points before you have read the job advert wastes an hour.

      Collect the raw material (20 min)

      One document with everything: every employer with exact start and end months, every title, every tool you have used, every number you can defend, all qualifications with dates. Messy and complete beats tidy and incomplete — you will never remember the metric you need at step 5.

      Decode the target role (10 min)

      Take one job advert you genuinely want. Highlight every required skill, tool and outcome. Note the exact job title as it is written. That highlighted list becomes your keyword checklist, and you will work through it again at step 6.

      Build the skeleton (10 min)

      Open a single-column template. Set the headings in this order: contact block → headline → summary → skills → work experience → education → certifications/projects → optional extras. No tables, no columns, no text boxes anywhere in the document.

      Write the header and summary (15 min)

      Name, target title, phone, email, city, and one link. Then a three-sentence summary: your title and years, your strongest measurable proof, and the value you bring to this role. Front-load the exact job title from the advert.

      Write the experience block (30 min)

      Per role: Title — Employer, location, MM/YYYY – MM/YYYY, then three to five bullets written as verb + object + measurable result + method. Start with your current or most relevant role, because that is where the reader's attention lives.

      Align the vocabulary (10 min)

      Read your draft against the highlighted advert and rewrite phrases that describe the same thing in different words. This is not keyword stuffing: it is using the reader's language for work you have genuinely done.

      Export, then test (5 min)

      Export a text-based PDF, copy the entire document, paste it into a plain text editor and read the result. Broken order, dropped sections or missing contact details mean the layout is unsafe — fix that before you send anything.

    Keep contact details in the document body

    Keep essential contact details in the document body as selectable text. Headers, footers, sidebars and other layout elements can be extracted differently by some systems, so check the exported text.

    • One email address, one phone number. Add a second phone number only if a recruiter might genuinely call it.
    • Use only the location details that are appropriate for your market and the role; a full street address is often unnecessary. Follow local guidance and avoid sharing personal details you do not need to disclose.
    • If a profile or portfolio is relevant, make its URL visible as well as clickable so a reader can identify the destination.
    • No date of birth, photo, marital status, nationality or ID number. They are irrelevant in most markets and create bias risk in the rest.
    • If you have a portfolio, GitHub or a personal site, put it on the same line and keep it short: name.com.

    Section headings and order

    Familiar labels such as “Work Experience,” “Education” and “Skills” help readers navigate a resume and may be easier for some systems to recognize. Adapt the order to your experience and the employer's instructions; there is no single order for every applicant.

    When to break the order

    • Career changer: skills goes directly under the summary and before experience, so the reader sees the bridge before the history.
    • Recent graduate: education moves above experience, and projects come with it.
    • Senior leader: the summary deserves four lines and a short "selected results" line can sit above experience.
    • Contractor or freelancer: group by client engagements under a single "Consulting Experience" heading so dates read as continuous work rather than job-hopping.

    Writing each section so it works twice

    Your resume may be read by both software and people. Clear headings, concise examples and a logical reading order make key information easier to review, though systems and reading habits vary.

    Work experience bullets

    Step 7 in detail

    Export it, then try to break it

      Export a text-based PDF

      Use selectable text where possible, and inspect the exported file. Scanned images can be harder to search or extract; if the advert requests Word, follow that instruction.

      Run the copy-paste test

      Select the PDF text, paste it into a plain-text editor and review the order. This can reveal extraction issues, but it cannot reproduce every employer's system.

      Use Ctrl/Cmd+F to check whether important details remain selectable in the exported file. Job-ad terms may help a reader connect your experience to requirements when they are accurate; matching behavior varies.

    The writing goals are much the same: make relevant experience easy to understand. A clear reading order, familiar section labels and selectable text are conservative choices, but parsers vary.
